Before You Buy a Folder/Inserter

Purchasing or upgrading an existing folder/inserter is an important investment for any business and can greatly increase productivity as well as save money. As this is often a large purchase, and one that will undergo excessive use, it can be very important to choose a manufacturer and dealer that has a good reputation for customer service and maintenance. In many cases, local companies that have a community investment will provide you with professional and personal attention. Consider the following before you purchase a folder/inserter:

Volume Frequency of Folding - How often do you plan on using this machine? This can be an extremely important factor because while some folder/inserters are designed to be used continuously, others are only meant to be used occasionally. Some folder/inserters can be used for mass mailing purposes, but not all are designed for this degree of use. Lower end machines are only built to handle light use, and would inevitably break under constant production. Be sure to choose a folder inserter that will accomodate your specific folding requirements.

Types of Folds - What type of folds do you need this machine to perform? Allthough some more common folds are pretty much standard for all folders, some will be able to do a larger variety than others. Some of the common folds you may be interested in creating are a standard business-letter fold(c-fold), an accordion fold (a-fold), double folds, and single folds. Some units will have the ability to perform custom folds as well. Make sure that the machine you are looking at has the folding capabilities you are seeking.

Type of Paper - What kind of paper do you plan to fold? The things to consider about your paper is size, weight and finish. The thickness of the paper, whether thick or thin, can effect the machine that you will need. Also, if you want to fold glossy paper this will require a certain type of folder as well. Paper size is also an important factor. Do you plan on folding mostly letter size documents, legal size documents or larger. All folder/inserters will have different capabilities reguarding the type of paper they can handle. Be sure to choose a folder that can accomodate your current and future folding needs.

Type of Envelopes - What type and size of envelope will you be using? Do you plan on using standard size envelopes or larger ones? Depending upon the folder you choose, you may be able to only use up to a certain size. Folder manufacturers also have specifications as to what type of envelopes work best in their machines. Usually you will want to use machine quality envelopes which are also known as commercial envelopes. These would be the most commonly used envelopes in the business community, often being used for sending invoices, self-addressed cards, or order returns. Commercial envelopes will meet specifications for size, weight, flap length, gum and seam type.

Programmable Memory - Will you have reaccuring folding jobs? Companies often find this this feature of a folder/inserter can be essential to their productivity. Programmable memory makes it possible for the user to record as many programs or "jobs" as the machine allows. This can drastically reduce set-up time and allow for more efficiency overall. If you think this will be important to you, look for programmable memory with multiple memory locations and automatic fold settings.

Intelligent Optical Mark Reading (OMR) - OMR ensures that the appropriate forms are inserted into the right envelope. OMR-equipped models are particularly useful when sending invoices or statements of different page lengths to clients. Although you might not require this feature now, look for models that can be upgraded to OMR in case you need this in the future. A good dealer will be able to help you evaluate your future needs.

Batch Counter - Do you need a Batch Counter? A batch counter is useful because it will prevent the folding machine from folding/inserting more sheets than you want. If this feature is important to you, then look for models with batch counters that automatically stop folding once a desired number has been completed. Ther are also batch counters that are "total counters" that will just tell you how many sheets have already been folded and inserted.

Paper Jams - Make sure to find out how paper jams are handled by the machine you are looking at. Better-designed machines will have open access and release rollers for easier clearing of problematic documents and envelopes. Look for a unit with access and step-by-step instructions that tell you where to look for jams as well as how to clear them.

Double Insert Prevention - Some folder/ inserters have the ability to measure the final envelope package in the insert area, thus preventing a double insertion.

Placement - Where are you planning to put your new folder/inserter. Certain models of paper folders will work better in different areas. Once you know where you are going to put your new folder/inserter, you will know whether you should look for a desktop or floor model. You can also purchase optional carts or stands to allow for mobility and greater versatility of placement.

Materials Testing - Are you unsure of whether or not a machine will be able to fold your documents? Test the folder/sealer equipment with the paper and envelopes that you plan to use. Many manufacturers will offer free material testing before you purchase a machine. Have the manufacturer test your application to make sure that their equipment will work for you. What is Scoring?

Paper Scoring
Scoring is the term applied to the process that places a crease in paper stocks and other substrates allowing the material to be folded. A score may be used to crease the cover of a publication, provide areas for folding a document allowing insertion into an envelope, create heavy creases in shipping cartons to allow easy assembly of the carton, and numerous other applications.

Parallel Scoring
When a score must be applied parallel to the direction that the stock travels through the printing press, a steel scoring wheel is used. As the stock travels through the press, the scoring wheel applies pressure on the stock in the area where the score is desired. The scoring wheel has a flattened edge, which squeezes the paper fibers in a concentrated area and thereby creating the score in the stock. The flattened edge of the score wheel prevents the substrate from being cut rather than scored. Scoring wheels are available in various widths to produce narrow or wide scores on the substrate. Multiple parallel scores can be applied at the same time. Since the printing and scoring of the substrate are accomplished in one operation, considerable savings in labor and cost can be achieved than if the scoring was performed as an offline operation.

Perpendicular Scoring
For scores that must be perpendicular to the direction the paper travels through the printing press, steel scoring rules are used. The steel rules are inserted into cylinders on the press, which allow the rules to stamp the score into the paper as the cylinders revolve. Like scoring wheels, the rule edges are flattened to allow for proper scoring and prevent the scoring rule from cutting the substrate. Compared with parallel scoring, there are usually more limitations as to the number and placement of perpendicular scores, so it is best to consult the print provider to learn of the possible limitations.

Why is Paper Grain Important?

Paper Grain

The paper's grain can be one of the most important aspects in acheiving a perfect fold. The direction of the grain has much to do with the overall quality of the fold. Paper that is folded parallel with the grain of the paper will fold much more cleanly, resulting in a crisp, straight fold. Parallel grain produces a much cleaner fold because the paper fibers (grain) are running in the same basic direction as the fold. Only a few of the fibers run in the opposite direction and are able to provide any resistance to the folding mechanism, thus resulting in a precise, high quality fold.

When a fold is applied perpendicular to the grain of the paper, the resulting fold may have a ragged appearance. Perpendicular grain produces a ragged fold because all of the fibers are folded at one time creating resistance to the folding action. The ragged appearance of the fold is especially noticeable when folding heavier stocks of paper. More fiber results in more resistence, and lower quality folds.

  • Precision-Cut Gears - These are gears that are machine-cut, and not manufactured from a mold.
  • Pre-Set Fold Settings - This term refers to the standard fold styles that are pre-programmed into a folding machine.
  • Pressure-Seal - This type of folder exerts pressure on pre-applied adhesive to create a secure seal without using water or heat.
  • Score - Some folders are capable of scoring material. Scoring paper leaves parallel creases across the paper's surface in order to assist in folding.
  • Skew - A term refering to how well the paper lines up after it has been folded. Off-skewed documents have the appearance of a crokked fold. Some folders will come with precise controls that allow the user to adjust the skew.
  • Skewed Paper Side Guides - These are guides on a paper folder that adjust for varying paper sizes.
  • Slit - A slitter will cut paper into narrow strips. Some paper folders have a slitting feature which basically looks like a pizza cutter and has the ability to cut paper in half.
  • Stack Capacity - The stack capacity is the amount of paper that can be placed into a paper folder's paper tray.
  • Top-Feed - Most folders are top-feed folders. Users load the documents into a hopper located on top of the machine. Friction feed rollers in the paper folder pull paper from the top of the stack.
  • Vacuum Feed - This type of paper folder utilizes air suction to transfer paper into the machine. This method of feeding allows specially printed stocks, glossy paper, and other coated papers to be folded.

  • Catch Tray - You will find this feature on a number of paper folders. The catch tray is a simple device that receives the folded papers as they exit the paper folder.
  • Carbonless Paper - Used for making copies. This paper is chemically coated so that duplicate copies can be produced without the use of carbon paper.
  • Coated Paper - This type of paper is actually much like it sounds. Coated paper is composed of a base sheet that is covered on one or both sides with a finishing layer.
  • Counter - Often called a batch counter, this device allows the user to see how many documents have been processed with an easy to read digital output. Some of these counters may be re-settable back to zero while some are not.
  • Conveyer Belt - Some paper folder will have a conveyer belt to aid in the folding process. This belt will grab the folded paper and carry it out of the paper folder in an orderly manner.
  • Drop-In Feed System - This system eliminates the need to fan paper out before loading it into your paper folder. All you need to do is square up the corners and place it into the feeder.
  • Double-Sheet Detection - This unique feature available on some paper folders prevents two sheets from being folded together, only allowing a single sheet to be fed at a time.
  • Fan/Fanning - To fan paper, hold onto a stack with both hands and allow it to slightly angle. Hold the paper and bend it into a "u" or "c" shape. Hold one end of the paper and shuffle the other and it will fan or angle.
  • Fold Plate - This is what the paper folder actually uses to produce your desired fold. Adjusting the folding plate allows the user to customize folds by adjusting the length and width of each fold. Some paper folders will require manual adjustment, while higher-end models are equipped with automatically adjusting fold plates.
  • Fold Range - Different paper folders will have different fold ranges. This term refers to the amount and variety of paper sizes a paper folder can fold.
  • Friction Feed - A friction feed paper folder utilizes rollers to transfer paper into the machine. These machines are not suitable for glossy paper and other coated stocks.

    Buckle Paper Folders

    What is a Buckle Folder?

    A Buckle folder happens to be the most common type of paper folder there is. This type of paper folder is named according to the process it uses to fold paper. A Buckle machine uses a set of guides and plates with a backstop to buckle the paper and create the fold. The document will enter the folding machine through a set of rollers that automatically feed the paper into the machine. the paper is guided into a plate and will strike the backstop at the end of the plate. When this happens, the paper begins to buckle downward as it continues to be pushed into the machine and begins to move downward and fold through a set of nip rollers. The nip rollers grab the sheet of paper and pull it through, compressing a fold into the paper as it passes through the rollers. If you want the paper to have several folds, then the material would be sent through the paper folder again. The fold or buckle location is adjustable by moving the position of the stop mechanism. This allows a buckle folder to be an incredibly versatile folding machine.

    How Fast is a Paper Folder?
